Role Summary:

The Supply Chain/Product File Specialist is responsible for all product File maintenance, inventory and administration.

Main Responsibilities:

Supply Chain:
• Conducts re-ordering of present ranges based on sales, inventory, seasonality, lead time, restrictions, container capacity, expiration period, out of stock…
• Manages ordering of new ranges based on price, minimum quantity, stores criteria, promotion…
• Calculates the volume of the orders
• Determines the method of shipping based on category (chilled, frozen, dry…)
• Matches the proforma invoice against the issued order; then against commercial invoice
• Manages the stock level and age at the stores
• Introduces the purchase order to the system
• Arranges database of suppliers comprising full details and status
• Updates vendor information on the system (payment mode, terms, contact persons…)
• Plans forecasts for orders
• Establishes performance metrics for suppliers and ensure compliance
• Provides analytical or research support on a specific project basis
• Pressures the supplier to meet the delivery date deadline
• Controls the imported range Supply chain

Product File:
• Checks all product File updates (new prices, new items, new deals, deletion of items, etc.).
• Controls all GP data received from Trading Department.
• Generates daily reports to check for errors and make necessary corrections.
• Follow up on milestone controls and key end of period reports (GP, deleted items, etc.)
• Preparation and analysis of sales reports.
• Develops and generates gross margin and stock ageing reports.
• Updates plans monthly to reflect retail performance, including opportunities and risks, managing sales, inventory levels, and profitability.
• Responsible for account analytics and business performance analysis.
• Monitors and measure product performance.
